Prize Vouchers

For the purposes of these Terms, “Prize Voucher” includes both singular and plural references as well as the word "voucher".

 

DISCLAIMER: Requesting a Prize Voucher does not guarantee that a voucher will be granted, awarded, or assigned to any request.

Prize Vouchers are limited in number and subject to eligibility requirements, supplier approval, and availability.​

1. Prize Voucher

​

1.1. Definition of Prize Voucher: Redeemable reward that gives the recipient access to a product, service, experience, discount, or complimentary benefit. Examples of Prize Vouchers may include, but are not limited to: complimentary hotel stays, resort packages, spa treatments, golf rounds, dining experiences, or combinations thereof. Unless stated otherwise, Prize Vouchers do not include any type of transportation (air, land, or water).

1.2. Provided by Hospitality Supplier(s), partners of Golfasis, including but not limited to Hotels, Resorts, Golf Resorts, Golf Clubs/Courses, Pro Shops, etc.

1.3. Purpose: Prize Vouchers are promotional benefits provided by Golfasis' Partners for marketing, audience engagement, and partnership activation purposes. These create visibility and brand exposure close to the targeted audience, while offering Golf Tournaments the possibility to award their players with different and exciting prizes.

1.4. Value: Prize Vouchers are promotional hospitality benefits. They are non-transferable, non-resalable, non-exchangeable, not redeemable for cash. The sale of any displayed and/or assigned vouchers is expressly forbidden. Where Golfasis or the relevant Hospitality Supplier reasonably believes misuse of a displayed and/or assigned voucher has occurred, the respective voucher may be suspended, cancelled, or declared void.

1.5. By providing Prize Vouchers for display or promotional use, Hospitality Supplier(s) confirm that the respective voucher has been approved by an authorised representative and that written records may be used as evidence in case of dispute.

1.6. Golfasis acts solely as a promotional and marketing intermediary for Prize Vouchers offered by participating suppliers. Golfasis' role is to filter and qualify voucher requests and present those qualified requests to the respective suppliers, for their consideration and eventual final approval.

1.7. Voucher redemption remains subject to supplier availability, booking conditions, operational restrictions, and the supplier’s own terms and conditions at all times. Any service delivery or redemption-related issues shall be handled directly between the voucher holder and the relevant supplier - Hospitality Supplier(s) are solely responsible for delivering the services described in the respective Prize Voucher.

1.7.1. Hospitality Supplier(s) reserve the right to amend, suspend, substitute, or withdraw promotional voucher inventory due to operational, commercial, or force majeure circumstances. Golfasis shall not be held liable for supplier-led changes, force majeure events, technical failures, regulatory restrictions, travel disruptions, or circumstances beyond its reasonable control.

1.8. Displayed Information: The Prize Vouchers displayed here are exclusively for visual reference, therefore cannot be used to redeem the respective prize. Once a Prize Voucher is assigned and awarded, the assignee(s) should contact Golfasis directly for the next steps to be activated. This forms part of Golfasis’ fraud prevention measures designed to protect suppliers, partners, and legitimate voucher holders.

1.9. All Prize Vouchers remain the commercial property and promotional inventory of the respective Hospitality Supplier unless expressly stated otherwise in writing.

2. Prize Voucher - Request

​​​​

2.1. Requesting a Prize Voucher does not automatically grant access to it. Once requested, there is a process in place to validate and qualify such request for consideration.

​

2.2. Requests for Prize Vouchers will only be considered when intended to form part of an official prize pool for golf tournaments organised by Golf Clubs, Golf Societies, corporate groups, or similar organisations.

​

2.3. Request Voucher Form: The more complete the form is (even if certain fields are not mandatory) the higher the odds are of a Prize Voucher being assigned to a request.

        

          How the information submitted is used by Golfasis:

            ​

2.3.1. Instagram Account - Allows Golfasis to announce publicly the approval of a request, by tagging the respective Instagram Account.

2.3.2. Tournament Name - Helps Golfasis to identify and associate a voucher request to a specific tournament.

2.3.3. Number of Players - Gives an understanding of the tournament's size.

2.3.4. Tournament Start/End Dates.

2.3.5. Name of Golf Club - Where the Tournament will take place.

2.3.6. Golf Course Email - Will be used to contact the course in order to verify the tournament's information (2.3.2. to 2.3.5.) 

2.3.7. Country of Golf Course.

2.3.8. Prize Type - The sort of prize for which the Prize Voucher, if assigned, will be used during the tournament.

        Disclaimer: It is expressly forbidden to use a Prize Voucher displayed (assigned or not) as: 

. Any sort of lottery (lucky draw, raffles, sweepstakes, giveaways, etc, including online or offline promotions, whether entry is paid or free of charge);

. As an auction item;

. Or as any other prize that involves exchange of cash for the Prize Voucher and/or for the possibility to win said Prize Voucher.

                 

                   Such use will be considered misuse of the voucher and may result in its immediate cancellation.

2.3.9. Additional Information - Any information that may be relevant to take into consideration when considering the request.

​2.4. Proof of Tournament will be required from the Golf Course hosting the tournament.

​

​2.4.1. Awarding a Prize Voucher to yourself or to someone that did not take part in a tournament it was originally intended for, will be considered misuse of the Prize Voucher, which may be suspended, cancelled, or declared void.

2.4.2. If no proof of tournament can be produced in a timely manner - including due to lack of response from the Golf Course within a reasonable verification period - Golfasis and the Hospitality Supplier(s) reserve the right, acting reasonably and in good faith, to suspend, cancel, or declare void the assigned Prize Voucher (pre, during or post tournament, even in the event that a voucher has already been awarded to a winner). 

2.4.3. Golfasis and the Hospitality Supplier(s) take no responsibility for Prize Vouchers being advertised for/at tournaments before a proof of tournament can be produced by the Golf Club/Course where the tournament is taking place.

Therefore, you agree that if you promote a golf tournament using a Prize Voucher (or award it to someone) without it being confirmed in writing by Golfasis, you do so at your own risk and expenses, and that under no circumstances the supplier(s) and/or Golfasis will be deemed responsible for providing any of the services mentioned in the misused Prize Voucher.​​​

2.4.4. Validation of a request for a voucher remains subject to review, validation, and final written approval by Golfasis and/or the relevant Hospitality Supplier(s), before eventually being assigned.

2.5. If a tournament is cancelled, materially altered, or postponed, Golfasis and/or the relevant Hospitality Supplier reserve the right to suspend, withdraw, or reassign any associated Prize Voucher.

​​

2.6. By submitting a Prize Voucher request, the requester confirms that all information provided is true, accurate, and complete to the best of their knowledge. Submission of false, misleading, incomplete, or unverifiable information may result in immediate rejection, cancellation, or account restrictions.

​​

2.7. Authority to Request: By submitting a Prize Voucher request, the requester confirms that they are at least 18 years of age and have the legal authority, permission, or organisational capacity to act on behalf of the tournament, organisation, or group referenced in the request.

 

2.8. Data Sharing: Golfasis will only share the minimum data necessary with participating Hospitality Supplier(s) for verification, validation, and voucher fulfilment purposes, in accordance with our Privacy Policy. Submission of a Prize Voucher request constitutes acknowledgement and acceptance of Golfasis’ data processing practices as described in the Privacy Policy.

3. Prize Voucher - Selection Criteria​

​

3.1. The Prize Vouchers are supplied by Hospitality Supplier(s), partners of Golfasis, therefore the validation of a request for a voucher is always subject to review, validation, and final written approval.

Golfasis aims to review all voucher requests fairly and objectively. Each request is assessed individually based on supplier criteria, availability, and promotional suitability.

3.2. Details such as visibility and exposure - number of participants attending the tournament; how it's being advertised; market (country where the tournament takes place); amongst others - will be taken into consideration and may impact the decision on assigning the Prize Vouchers to the different requests - Refer to 2.3. for the importance of completing the form with as much information as possible

 

3.3. Golfasis and the Hospitality Supplier(s) reserve the right to request any additional information reasonably necessary (supporting documents, tournament materials, event photography, winner confirmation, scorecards, prize ceremony evidence or other relevant records) at any moment (before, during and/or after a Prize Voucher being assigned), to validate the proper use of any Prize Voucher. If unable to validate it, they also reserve the right to suspend, cancel, or declare void the respective Prize Voucher where misuse or inability to validate eligibility is reasonably established.

3.4. Golfasis reserves the right, acting reasonably and in good faith, to refuse, decline, suspend, or withdraw any Prize Voucher request or assignment where reasonably necessary to protect supplier interests, operational integrity, compliance obligations, fraud prevention, or platform reputation.

​

3.5. Public Representation: No requester, organiser, or third party may publicly represent, advertise, or imply supplier endorsement, partnership approval, sponsorship confirmation, or official allocation of a Prize Voucher unless such approval has been confirmed in writing by Golfasis.

4.  Prize Voucher - Redemption

​

4.1. Assuming the Prize Voucher was validly awarded, and in order to proceed with the reservation, the awardee needs to inform Golfasis by providing all the necessary travel information via the Quote Request Form at Golfasis.com.

 

4.2. Prize Vouchers must be redeemed within 30 days from the tournament end date, unless otherwise confirmed in writing by Golfasis.
Any Prize Voucher not redeemed within this period, or otherwise not redeemed in accordance with applicable conditions, may be withdrawn, cancelled, reassigned, or returned to supplier inventory without compensation and, where reasonably practicable, without prior notice.

4.2.1. Failure by the beneficiary to provide required booking information, respond to reasonable communications, complete supplier-required procedures, or attend a confirmed reservation within the applicable deadlines may result in the Prize Voucher being suspended, cancelled, forfeited, reassigned, or returned to supplier inventory without compensation.

​

4.3. Additional guest(s) - other than the one(s) contemplated by the voucher - that would like to accompany the voucher holder, need to be mentioned on the request form at the time of the original reservation request (redemption). This ensures that any special offer intended for them is also applied correctly.

4.4. Beneficiary Restrictions: Unless expressly authorised in writing by Golfasis and the relevant Hospitality Supplier, Prize Vouchers may only be redeemed by the originally approved beneficiary or beneficiaries.

​

4.5. Every T&C such as Booking Window, Travel Period, Blackout Dates, Board Basis, Room Type, Number of pax, etc, must be followed according to the information in the Prize Voucher. 

 

4.5.1. Availability of dates, room categories, tee times, or other inventory remains subject to supplier availability at the time of redemption and is not guaranteed by the display, assignment, or award of a Prize Voucher.

4.6. Local Taxes, Fees, and Charges: Unless expressly stated otherwise in writing, Prize Vouchers do not include local city taxes, tourist taxes, occupancy taxes, resort fees, environmental charges, service charges, mandatory destination fees, or any other government-imposed, municipal, property-level, or travel-related charges that may apply at the time of redemption, check-in and/or check-out.

Any such charges shall be the sole responsibility of the voucher beneficiary, guest(s), and/or traveller(s), and must be settled directly with the relevant Hospitality Supplier or competent authority where applicable.

4.7. Additional Personal Expenses: Unless expressly stated otherwise in writing, Prize Vouchers cover only the specific products, services, accommodations, experiences, or benefits expressly described in the respective voucher.

Any additional costs, charges, upgrades, purchases, or personal expenses incurred by the beneficiary, guest(s), or traveller(s) - including, without limitation, room service, minibar consumption, food and beverages, spa treatments, golf fees, equipment rental, transportation, excursions, activities, gratuities, telephone charges, laundry services, or any other incidental or optional services - shall be the sole responsibility of the beneficiary and must be settled directly with the relevant Hospitality Supplier.​​​

4.8. Travel Documentation and Entry Requirements: Unless expressly stated otherwise in writing, obtaining, maintaining, and presenting where required, valid passports, visas, travel authorisations, vaccinations, insurance, health documentation, or any other entry, travel, or immigration requirements shall be the sole responsibility of the beneficiary, guest(s), and/or traveller(s).

4.9. Supplier Conduct Policies: Redemption of any Prize Voucher remains subject to compliance with the relevant Hospitality Supplier’s house rules, guest policies, dress codes, conduct requirements, payment guarantee and/or security deposit requirements, and operational procedures. Hospitality Supplier(s) reserve the right to refuse service, deny check-in, cancel reservations, or withdraw access where the beneficiary or guest(s) fail to comply with such requirements. Golfasis shall not be liable for any such supplier decision.

4.10. Travel Disruptions and Force Majeure: Golfasis shall not be responsible for any inability to redeem, travel delays, cancellations, shortened stays, disruption to travel plans, intended travel arrangements, or overall travel experience, or additional expenses arising from weather conditions, natural disasters, strikes, transportation disruptions, public health events, government actions, border restrictions, or any other force majeure event beyond its reasonable control.

4.10.1. In the event that a Hospitality Supplier permanently closes, becomes insolvent, ceases operations, changes ownership, or is otherwise unable to honour a Prize Voucher for reasons beyond Golfasis’ control, Golfasis shall have no obligation to replace, substitute, compensate, or provide an equivalent alternative benefit unless expressly agreed in writing.

5. Prize Voucher - Other Terms & Conditions

​

5.1. Any misuse of Prize Vouchers (including conduct not expressly listed in these Terms) may result in the respective Prize Voucher being suspended, cancelled, or declared void, and, where appropriate, further action against the responsible party.

​

5.2. Limitation of Liability: Golfasis shall not be liable for any indirect, incidental, consequential, reputational, commercial, travel-related, promotional, or financial losses arising from:

• the non-approval of a Prize Voucher request;

• the suspension, cancellation, amendment, withdrawal, or unavailability of a Prize Voucher by a Hospitality Supplier;

• the misuse, unauthorised promotion, or unauthorised distribution of any Prize Voucher by a requester, organiser, or third party.

 

To the maximum extent permitted by applicable law, Golfasis’ liability in connection with any Prize Voucher shall be limited to its direct role as an intermediary facilitator. Nothing in these Terms shall exclude or limit any liability that cannot be excluded or limited under applicable law.

5.3. Supplier Service Disclaimer: Golfasis does not own, operate, control, inspect, guarantee, or endorse the products, services, facilities, accommodations, transport arrangements, or experiences provided by Hospitality Suppliers. Golfasis makes no warranties, express or implied, regarding supplier performance, suitability, quality, safety, legality, or availability.

 

5.4. Taxes and Local Compliance: The requester, organiser, and/or voucher recipient are solely responsible for complying with any local tax, reporting, prize, promotional, competition, gaming, or regulatory obligations applicable in their jurisdiction.

5.5. Intellectual Property and Promotional Materials: All trademarks, logos, brand assets, promotional visuals, voucher imagery, and related materials displayed in connection with Prize Vouchers remain the intellectual property of Golfasis and/or the respective Hospitality Supplier(s), unless otherwise stated.

No party may reproduce, alter, distribute, advertise, or commercially exploit such materials without prior written authorisation.

5.6. Severability: If any provision of these Terms is found to be invalid, unlawful, or unenforceable, the remaining provisions shall remain in full force and effect.

​

5.7. Amendments: Golfasis reserves the right to amend, update, or modify these Terms at any time. Where legally required, material changes will be notified through reasonable means before taking effect. Continued use of the Prize Voucher services after any updates constitutes acceptance of the revised Terms.

​

5.8. Governing Law: These Terms are governed by the laws of Portugal, without prejudice to any mandatory rights under applicable law. Any disputes shall be subject to the jurisdiction of the competent courts located in Lisbon - Tribunal Judicial da Comarca de Lisboa.

​

5.9. No Agency or Partnership: Nothing in these Terms shall be interpreted as creating any agency, joint venture, employment, fiduciary, franchise, or partnership relationship between Golfasis, Hospitality Supplier(s), requesters, organisers, or voucher recipients.

​

5.10. Electronic Communication: For the purposes of these Terms, “in writing” includes communications made by email, platform messaging, digital forms, CRM systems, or other electronic communications issued or authorised by Golfasis.

​

5.11. Account Enforcement: Golfasis reserves the right to suspend, restrict, or permanently terminate platform access where fraud, misuse, misrepresentation, abuse, or repeated violations of these Terms are reasonably suspected or established.

​

5.12. Claim Limitation: Any claim relating to a Prize Voucher, voucher request, assignment, cancellation, or redemption must be brought within 12 months from the date the relevant event occurred, unless a longer period is required by applicable law.

​

5.13. Cooperation Obligation: Requesters, organisers, beneficiaries, and any relevant third parties agree to reasonably cooperate with Golfasis and Hospitality Supplier(s) in any fraud prevention, misuse investigation, eligibility verification, or compliance review relating to a Prize Voucher.

5.14. Entire Agreement: These Terms, together with Golfasis’ General Terms & Conditions and Privacy Policy, and any written voucher confirmation issued by Golfasis, constitute the entire agreement relating to Prize Vouchers and supersede any prior discussions, representations, understandings, or informal communications relating to the same subject matter.
